Door Hardware Schedule: How to Specify Handles, Locks & Finishes
A door hardware schedule is one of the most useful documents in a renovation or building project. It connects the architectural design with the handles, locks, latches and accessories that must fit each door. A clear schedule also makes it easier to obtain accurate pricing and avoid ordering incompatible parts.
1. Identify the door and its function
Record each door by room or door number, and note whether it is hinged, sliding, internal or external. Decide what the hardware must do: a passage set allows normal movement; a privacy set adds a privacy function; an entrance set has additional locking requirements. Sliding doors need a different combination of pulls, latches and locks.
2. Choose the handle design and finish together
Compare the profile, backplate or rose, proportions and available finishes—not just the product photo. For example, a sculptural lever can be a statement at a main entrance, while restrained hardware may suit the rest of a project. 3. Check what is included and what must be specified separately
A handle, latch, lock body, cylinder, escutcheon and strike plate are not interchangeable descriptions. Check the product specification for what is included in the chosen set and what must be ordered separately. Record the required door thickness, handing, dimensions, centres and latch or lock compatibility before ordering. Where a door has a special performance requirement—such as fire-door certification—confirm the applicable hardware and installation requirements for that exact door assembly.
4. Record a specific finish and product reference
Use the manufacturer's product code and the finish for every line wherever available. Do not assume that two similarly named handles, or two variants of the same handle, share the same code. A useful schedule records the door number, product, finish, function, quantity and any coordination or fitting notes.
5. Resolve availability before installation dates are fixed
On a multi-door project, settle the complete hardware schedule early enough to check stock, finish availability and any special-order requirements. Manufacturers' dimensions and specifications can change; confirm the actual product measurements before drilling, cutting or installation.
